Accounting document work often involves extracting tables from statements, reading scanned invoices, combining monthly records and preparing documents for storage or review. The biggest requirement is not convenience alone: extracted numbers must be checked before they are relied upon.

Extract digital PDF tables into Excel

EveryPDFTool's PDF-to-Excel backend uses pdfplumber to detect tables. When a page contains tables, the current workflow creates a worksheet for that PDF page and writes the extracted rows into it.

Obvious integers, decimal values and dollar amounts can be converted into numeric Excel cells. Content the converter is unsure about is left as text rather than being aggressively guessed.

Why bank statements can be difficult

A PDF is designed to display information, not to preserve the original spreadsheet structure. Borderless tables, wrapped descriptions, merged cells, debit and credit columns and running balances can therefore be interpreted incorrectly.

After conversion, compare opening balances, closing balances, transaction dates, decimal values and negative amounts against the source document before importing the data into an accounting system.

Scanned invoices and receipts require OCR

The current PDF to Excel workflow does not run OCR first. If the PDF is image-only, use OCR PDF to Text to recover text or use a dedicated OCR-to-accounting workflow.

For photographed receipts stored as JPG or PNG, OCR Image to Text can extract English printed text. Receipt totals, tax amounts and dates should still be checked manually.

Combine monthly documents

Merge PDF can combine up to 20 PDF files in the uploaded order. This can help create a monthly statement packet or combine related invoices before archiving.

Extract only the pages you need

The current Split PDF workflow is effectively selected-page extraction: you specify the pages and receive one new PDF containing those pages. It does not automatically create a separate file for every source page.

Reduce storage size for scanned records

Image-heavy invoices and scanned statements can become large. Compress PDF can reduce image resolution using different quality settings. Keep an original copy when archival fidelity matters.

Metadata can contain internal information

Before sending financial documents outside an organization, PDF Metadata Viewer can show available author, creator, producer and other document-property fields. Those fields are separate from visible financial data on the pages.

Be conservative with sensitive financial files

Company policy, client confidentiality requirements or regulation may restrict where financial records can be processed. For documents that are not permitted to leave an approved environment, use the organization's authorized local or enterprise workflow.

Do not treat OCR or conversion as bookkeeping

Extraction tools can save retyping time, but they do not validate whether an invoice is genuine, whether a payment is correctly classified or whether a transaction belongs in a particular ledger account. Those remain accounting decisions.
